Overview
DPO Ready Center is a local-first Windows application. One place to know what you already own, whether it still works, when it expires, and what to print if the PC is dead. A household of four and a collector on four machines use the same product — the difference is how much they put in it.
All records stay under your control: your files, your password, your drive. No telemetry. No mandatory cloud account. Optional Grok (xAI) drafting is off until you add your own API key. Calls go from your machine to xAI. Data Protection Operations does not proxy prompts, hold your key, or see what you send or receive.
Who it is for
Most people are not cataloging an armory. Start with what is already in the house.
Pantry and kit
Food days, calories, medical, batteries, water treatment. Alerts before a kit expires on the shelf.
Papers that scatter
CCW, passport, insurance, manuals — one Document Center. Encrypt what is sensitive. Leave product manuals on disk.
One firearm — or fifty
Serial, photos, cleaning logs, ammo by purpose. The same form works for a nightstand pistol or a collection.
Self-custody and portability
- Application and encrypted database can live entirely on a USB or external drive.
- Portable / ghost copy: run on a compatible Windows PC without installing.
- Deploy creates a complete copy: app, data, and settings.
- Store the drive in a fire-resistant safe with other critical material.
- HTML reports and a paper journal so the software is not a single point of failure.
Your operational data travels with you — not with a vendor login.

Document Center
One place for papers that usually live in a drawer, a safe, and a dozen folders. Types are customizable. A document can relate to a firearm, food item, maintenance record, essential, checklist, or none.

A shotgun manual does not need to live in the vault. A will does. Receipt photos can still sit on the Firearms record if that is where you look.

Optional Grok (xAI) — bring your own key
Optional Grok (xAI) is a time saver for research and data entry, not a required feature. It can draft a firearm description (what it is, when it was made, a used-value range), fill ammo fields from a box photo, and check maker recall pages. You review and edit before Save. Nothing runs until you add your own key from console.x.ai (not a Grok.com chat login) and confirm the call. You pay xAI, not DPO. Cancel, and nothing leaves the PC.Data Protection Operations does not proxy the call, does not see the prompt or the reply, and has no access to the xAI account behind that key. The key stays on your machine. If you confirm, the request goes from Ready Center to xAI. If you cancel, it does not leave the PC.

No names, addresses, or emails. No full inventory dump. Grok output is a draft. You own the saved record.
Ready Center talks to xAI’s commercial API (the paid developer service at console.x.ai), not the free Grok.com chat box. Under xAI’s enterprise terms as published, they say they do not train models on API prompts or replies unless you give permission; requests are kept about 30 days for abuse review, then deleted. Stricter “zero data retention” is an xAI console setting, not a DPO switch. Consumer Grok.com is a different contract: logged-out or opted-in chats can be used for product and model training. Terms change — read the current pages before you send a serial number.
